Office Manager/ Executive Assistant Jobs in Springs
As the Office Manager / Executive Assistant for the site, with a keen and meticulous approach, you will be responsible for supporting primarily the General Manager, as well as the Senior Management team through the coordination of administrative tasks and projects related to the Springs Site. The position reports to the General Manager with reference to key requirements.
- Job Description
– Provide professional and excellent service to the local General Manager, senior management team, and Executives of the business
- Effectively execute all functions relating to management of documents and reports, coordinating meetings, managing of office equipment, maintenance, and cleaning contractors
- Perform all travel arrangements for all local and abroad travel requests (Flights and accommodation) for the Springs Site
- Effective management of all activities relating to the functioning of the company Guesthouse
- Ensure accurate financial/internal controls and processes relating to the Company Guesthouse, contractor management, etc. is adhered to
- Manage all relevant company Guesthouse and office related assets and stock levels in partnership with finance
- Key role player in maintaining healthy relationships with all stakeholders and partners to the business (E6 Global Executive Assistants, Travel agents, service providers, maintenance contractors for Guesthouse, employees)
- Management of highly confidential data and files
- Planning, implementation, and coordination of administrative processes such as meetings, events, conferences
- Effective management of all allocated procurement activities on the JD Edwards system
- Key role player and advocate for company values and behaviours
– A relevant Office Administration and/ equivalent qualification at a reputable institution is essential
- 3 years minimum experience within the FMCG manufacturing environment in the same or similar position
- Experience in a Finance and Administration environment will be advantageous
- Relevant experience in managing projects relating to contractor management, events and conferences
Criteria and Skills
- Basic knowledge of financial processes, policies, and procedures
- Knowledge of business concepts and processes
- Ability to provide remote leadership to team members (Guesthouse), contractors, etc.
- Ability to keep things simple and with a high focus on performance output
- Must be a self-starter with a creative and innovative style when approaching multiple complex matters
- Excellent Microsoft package experience (MS Word, MS Excel, MS Power Point) and ensure optimum utilization of all current information systems
- Must have sound experience in excellent and structured diary management
- Must have the ability to make relevant independent decisions in a fast-paced environment with little supervision (moving of meetings, deal with unforeseen circumstances)
