Purpose of Job

To manage and maintain accurate records and controls of confidential and sensitive staff information. To resolve business queries with a high attention to detail, ensuring policy and business rules have been adhered to.

Role Description



  • Action requests sent to SNOW and liaise with stakeholders to resolve queries;
  • Capture and submit accurate information on WD, and other HCT databases;
  • Check that information interfaced to downstream systems on a daily basis;
  • Extract various reports as and when requested;
  • Regular data clean ups;
  • Telephonic confirmation of employment (external and internal);
  • Draft and distribute quality letters of employment, statements of work, master agreements and various other staff contracts and letters;
  • Ensure compliance with the firms security policies and standard operating procedures;
  • Assist with firm on-boarding process;
  • Monitor and distribute permanent appointment letters, electronically;
  • Draft and distribute long service certificates and communicate payment required to payroll; and
  • Assist with bulk projects as and when required
  • Action requests sent to the HC Operations and liaise with stakeholders to resolve queries;
  • Capture information on Workday, and other business systems;
  • Draft various contracts and letters e.g. Letters of employment, transfer contracts, bursary contracts, promotion letters etc.
  • Daily checking that information has interfaced correctly to downstream systems;
  • Action IT requirements for new joiners on Directory Services;
  • Extract various reports as and when required by HC Operations Leaders
  • Update all systems with most recent qualifications and results;
  • Record staff movements and promotions on the Transaction Services Distribution list;
  • Telephonic confirmation of employment (external and internal);
  • Maintain HC Operations checklists for record and control purposes;
  • Drawing regular data clean up reports to ensure data integrity;
  • Ensuring compliance with firm’s security policies and standard operating procedures
  • Assist with HC Operations projects like salary reviews, bonus cycles, exam cycles etc.
