Cape Town Tourism Executive Assistant Vacancies Description?

This position requires a professional and organised individual, who will be working very closely with the Destination Marketing & Brand Executive, Destination Management Executive and the Corporate & Commercial Executive to provide effective administration support.

This position necessitates an individual with high levels of initiative, energy, dedication and confidentiality.

Main Purpose

Effective diary management and personal assistance
Organising meetings and appointments
Screen and respond to all incoming telephone calls and take the necessary action
Screening of emails and walk-ins
Draft emails and letters on behalf of the Executive
Make travel arrangements
Capture performance assessment scores for the Executive team members on a bi-annual basis
Provide administrative support, including contract management, credit card reconciliation and auditing of files
Professional interaction with clients at all levels
Ensuring that paperwork, procedures, and systems run smoothly
Proactively coordinating and following up on projects and actions delegated by the Executive and management team
Office management assistance
Performs additional duties as assigned by the Executives.

Requirements

Qualification Level: Higher Certificate and Advanced National (Vocational ) Certificate – 1 year

Additional Qualification Level:

Experience Required: 3 – 5 years

Competencies / Skills:

A minimum of 3 – 5 years relevant practical experience in a similar position
A tertiary qualification, or a recognised post-Matric secretarial and/or management diploma
A good knowledge of the Tourism Industry, Cape Town and the Western Cape
Strong organisational skills (multi-tasking); excellent interpersonal, verbal and written communication skills combined with advanced computer literacy in Microsoft Office
Excellent work ethic, commitment, and dependability
Aptitude to show initiative and accountability
The ability to remain flexible with a mature approach and ability to work unsupervised
The ability to maintain confidentiality
Time management, planning & prioritizing
Meticulous and courteous
Code 08 driver’s license and own transport
