Our diverse team working in 26 countries relies on technology for connection, collaboration and communication, and the Operations Specialist will focus on making improvements to these internal operations to make them more just, equitable and inclusive. 350.org is building a global grassroots movement to stop the fossil fuel industry from destroying our climate. Our online campaigns, grassroots organising, and mass public actions are led from the bottom up by thousands of volunteer organisers in over 188 countries. 350.org works hard to organise in a new way—everywhere at once, using online tools to facilitate strategic offline action.

We want to be a laboratory for the best ways to strengthen the climate movement and catalyse transformation around the world. The values that guide and drive our work are listed here. Currently a US-based organisation with 160 staff working in 26 countries, we are embarking on a period of strategic change with a greater focus on supporting grassroots groups in Africa, Asia, Latin America & the Pacific.

Main responsibilities

The Operations Specialist’s focus is to improve the technology services that support 350.org’s global operations. It’s a hands-on role working across the organisation: listening to and supporting individuals to resolve a steady flow of operational issues; as well as the management and improvement of organisational email, intranet, document storage, collaboration, online meetings and other technologies to be introduced in the future.

We are more ‘start-up’ than ‘big international NGO’ and require simple, agile approaches that work across multiple languages, time zones and in different cultural contexts – we have a network of staff with responsibilities for different technology services and no centralised IT department.

Main Responsibilities:

  1. Ensure our communication and collaboration systems (currently Apple/iOS, Gmail, Drive, Zoom, Slack, Dashlane, Concur, and LumApps) supports effective virtual working, specifically:
  • Be the point of contact for staff to ask questions, find information and raise issues on our internal operations
  • Support the on- and offboarding of staff ensuring they have an effective orientation of how internal systems work
  • Maintain a user-oriented approach to ensure requests are understood, prioritised and resolved taking into consideration diversity, equity and inclusion
  • Manage relationships with technology service providers to ensure their evolving service continues to meet our changing ‘needs’, assessing new service offers
  • Ensure the infrastructure and ways of working to effectively manage information are present (currently Google Drive, LumApps) with the aim that staff can quickly find the information they need to do their jobs
  • Ensure the security of our communication and collaboration infrastructure is maintained through:
      • ensuring single sign-on integration with third party applications;
      • managing access as staff join and leave;
      • providing proactive guidance and training on security best practice
  • Ensure training materials are updated and annual refresher training is delivered either directly or through others
  • Build resilience through maintaining appropriate documentation of procedures/protocols as technology and ways of working change over time
  • Manage the asset lifecycle, purchase and securely dispose of laptops across the world
  1. Continuous improvement of the internal operations of 350.org (scope includes: legal, grant management, restricted funding, security, risk, IT, HR, finance):

Work with staff and senior managers to identify and prioritise operational improvements

  • Using effective change management, introduce changes to systems or ways of working that take into consideration diversity, equity and inclusion
  • Manage the internal incident and security reporting system, triaging requests for assistance and effectively escalating issues for resolution by senior managers
  • Contribute to the effective upkeep of the organisational risk register, identifying risks and opportunities, planning and implementing mitigations
  • Develop and deliver internal communications as required

Required Requirements:

  • A strong knowledge and proficiency in administering Google Workspace and Apple products
  • At least three years of work experience in a service oriented role, understanding and resolving emerging issues, identifying and resolving the underlying root causes
  • Experience with continuously improving business processes
  • Experience with managing the introduction of change to diverse groups of people
  • Experience with developing and delivering training sessions and materials that introduce new ways of working
  • Strong verbal and written communication in English, with additional languages preferred (especially Portuguese, French, Spanish, Turkish)
  • Passion for and alignment with 350.org’s vision, mission, and progressive values

Desirable Requirements:

  • Proficiency in Slack, Zoom, LumApps and Dashlane
  • Experience with being a data controller to ensure compliance with data protection laws
  • Relevant qualifications in continuous improvement (eg Lean, 6-Sigma), IT service provision (eg ITSM, ITIL) or project management
  • Familiarity with cloud platforms such as AWS, Intacct and Salesforce

 

Reporting Line: Global Head of Operations

Employment: Full time

Location: Flexible, ensuring good timezone coverage within the broader team

Salary Grade:  2.1

Work Environment: Mostly working remotely. May be asked occasionally to work in an office.

Travel: May occasionally travel from time to time (domestic and international)
